Hosting an Event

Terms & Conditions
for hosting an event at
St Matthew-in-the-City

 

 

Thank you for your interest in holding an event at St Matthew-in-the-City. We trust that the classic architecture, atmosphere and spirituality of this place will add a unique quality to your event. The following information outlines our requirements. Please direct any further questions to our Events Manager.

 

Date

Please contact the St Matthew’s Events Manager to work out the most suitable date for your event.   We do not host events on Sundays or Mondays.  menu

 

Considerations for your event

You are required to enlist the services of Venue Security International, who are well experienced and sensitive with managing security for events at St Matthew’s.  VSI can be booked by calling 09 835 2350.  St Matthew’s is not responsible for any loss, damage, or injury which may occur.  menu 

 

Rates 

The current rates are available from our Events Manager. NOTE: Charging commences from the time setup for your event begins until the church has been returned to its original state. You will need to pay a $500 deposit and we will notify you in writing once we have confirmed your booking. In the event of cancellation, this deposit is non-refundable, unless one month advance notice is given.  menu

Parking 

The yellow spaces next to the church marked ‘Church Parking’ are for the use of St Matthew’s clergy and staff.  You will need to make your own arrangements for parking.  menu

 

Setting up

We have a scaled floor plan of the church attached to these terms and conditions for your information. The floor plan indicates those areas of the church considered sacred and not to be used during events.  We require a floor plan illustrating the setup for your event and a runsheet at least one week prior to your event.  You are responsible for ensuring that no damage is sustained to the church. Should any damage occur, you will be liable for any associated costs.  There may be a charge each time we unlock the church for drop off or pick up outside of St Matthew’s office hours (9.00am-5.00pm, Monday – Friday).  menu

 

Clearing the space

We can move the pews to the north and south walls of the nave.  There is a charge for this service.  As we do not have storage space large enough for all the pews, any arrangement of the pews means there will always be some pews visible.  Because the pews require special care when being moved, we require that our own crew move them.  menu 

 

Seating

St Matthew’s has seating in its wooden pews for about 200 people. We also have an additional 200 individual chairs that can be used to increase seating capacity.   menu 

 

Catering

We have a list of preferred caterers you may want to consider who work regularly at St Matthew’s and are therefore familiar with our facilities. St Matthew’s does have a small kitchen adjacent to the main body of the church which can be used for catering smaller gatherings.   menu

 

Lighting

There are rows of chandeliers and up-lighting in St Matthew’s which can be switched on or off or dimmed as you require.   menu

Music

You are welcome to bring a band, musicians or a DJ to play during your event.   Please discuss your requirements with our Events Manager.  menu

 

Sound

St Matthew’s has a single CD and PA system that you can use; you are also welcome to bring your own PA system.   menu 

 

Smoking

St Matthew's is a NON SMOKING venue in ordinance with New Zealand's smoking legislation.   menu

 

Alcohol

Caterers on our recommended list are able to use their own liquor license. Other-wise, you will need to acquire your own license from the Auckland City Council.   menu

 

Heating

St Matthew's has under floor heating designed to take the chill off the air. You can provide additional extra heating if need be, but consultation with the office is required.  menu

 

Security

Packing Out 

You are responsible for removing all rubbish associated with your event (e.g. Empty bottles, food waste, boxes and signage etc.) We arrange for our cleaners to come in after your event.  All equipment must be taken away at packout unless prior arrangements have been made with our Events Manager. There may be a charge each time we unlock the church for drop off or pick up outside of St Matthew’s office hours (9.00am-5.00pm, Monday – Friday). 

 

Damage

St Matthew’s is constructed of Oamaru stone which is easily damaged.  Please take care not to rest ladders and other equipment against the pillars or walls.  You are responsible for any damage incurred by anyone associated with your event including staff, guests and contractors.  menu

 

Curfew

We require that all evening functions go no later than 1.00am, with packout to be completed by 3.00am.   menu

 

Power

There are power outlets beside each centre pillar, and aisle walls. There are two three-phase power outlets available if required.  You may need to provide a generator should the equipment you are using place heavy demands on our power supply.  menu

 

Toilets

There are two separate toilets located in the church crypt. Depending on the number of guests attending your event, you may need to arrange for extra toilet facilities (eg.Port-a-loos, Super-loos), these may be set up only at the south side of the church and they must be taken away at the conclusion of your event.

Supervisor (Verger)

If your event occurs outside of St Matthew’s office hours (9.00am-5.00pm, Monday – Friday) we require that a Verger from St Matthew’s open the church and be on call throughout the event.  You are required to contact the verger when the packout of your event is near completion for final inspection and lockup.

 

Health & Safety

a.    I/We are aware of my/our obligations and duties under the Health and Safety in Employment Act 1992.
b.    Any sub-contractors used have written rules and procedures in place relating to health and safety of their employees and all persons associated with  the event.
c.    I/We will take all practicable steps to eliminate, isolate, minimise hazards as well as hazards identified to me/us by St Matthew-in-the-City.
d.    I/We will maintain a register of accidents and notify St Matthew-in-the-City of any accidents that occur at St Matthew-in-the-City.  menu
